Business Support Administrator

The Role

Shearwater Marine Services is seeking a dedicated and detail-oriented Business Support Administrator to our join growing team. In this role, you will play an integral part in ensuring the smooth and efficient running of our business support operations, providing essential administrative support to various departments across the business.

Key Responsibilities

General Administration:

  • Provide day-to-day support to ensure seamless project delivery and business support
  • Assist with scheduling, meeting preparation, and minute-taking as required.

Document Management:

  • Maintain and organise company documentation, ensuring compliance with internal and external requirements.
  • Support the creation, updating, and distribution of project-related documents.

Invoicing Support:

  • Assist with preparing, issuing, and tracking invoices.
  • Liaise with clients to resolve invoicing queries.
  • Assist with budgeting and expense tracking.

Data Entry and Management

  • Regularly update and maintain operational logs, including project progress and financial records.
  • Identify opportunities to enhance efficiency within administrative workflows.
  • Supporting the maintenance and optimisation of our client and project management systems

Customer Support and Communication:

  • Assisting with enquiries from clients or customers, providing information and resolving issues.
  • Act as a liaison between departments, facilitating communication and collaboration.

Any other duties as required by the business.

REQUIRED SKILLS

  • Strong administrative and organisational skills with a keen eye for detail.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook).
  • Experience with invoicing and financial processes is desirable.
  • Strong communication skills, both verbal and written.
  • Ability to multitask and adapt to changing priorities in a fast-paced environment.
  • Prior experience in marine or project-based industries is an advantage but not essential.
